Daily Checklist

Checklists keep every shift running the same way, no matter who's on.

Build them once for opening, closing, or anything your managers do every day, and they appear in the daily log, just below the weather. You can create as many as you need.

Create a checklist

  1. Go to Admin → Checklists. [confirm V4 menu location]
  2. Click Add New Checklist. [confirm]
  3. Enter a name, like "Opening – Front of House," and click Save.

Add items

  1. In your checklist, click Add Item. [confirm button name]
  2. Enter the item, like "Count the drawer" or "Check walk-in temperature."
  3. Optional: check Text Field if the manager should type something in, like a temperature reading, a drawer count, or a note.
  4. Click Save.

To reorder items, use the up and down arrows next to each item, or drag them. [confirm]

Add sub-items

Use sub-items to break a bigger task into steps.

  1. Click Sub Item next to the item.
  2. Enter the step, like "Restock napkins" under "Set up the dining room."
  3. Click Save.

Share a checklist across locations

  1. Open the checklist and click Manage Locations. [confirm]
  2. Choose each location that should use it.
  3. Click Save.

Build it once, and every location runs the same standard.

Using a checklist during a shift

Checklists appear in the daily log below the weather. Managers check off each item as they finish it and fill in any text fields. [confirm whether V4 records who checked each item and when, and whether completed checklists appear in the daily report]

Tips

  • Keep each checklist short. Ten to fifteen items is plenty. Longer ones get skipped.
  • Use text fields for numbers you'll want later, like temperatures and cash counts.
  • Name checklists by time and area, like "Opening – Kitchen," so managers pick the right one.
  • Start with one location, refine it for a week, then share it everywhere.

You can create an unlimited number of checklist and they will be displayed in the daily log just below your weather.

Creating a Checklist ShiftNote Legacy (logging in to ww1.shiftnote.com) 

To access Checklist: Login to ShiftNote > Click Admin (right hand corner) > Click Checklist (yellow nav bar)
Managers Logbook New Checklist
  • Click Actions then Add New Checklist
  • Enter Checklist Name and click Submit
  • Click Add New Record at top of the checklist
  • Enter the Checklist Item in the name box
  • Text Field (if checked allows you to add text to this item in the checklist)
  • Click Update
  • To Re-arrange an item: click the up or down arrow located in the far right column
  • When checklist is complete click Save Checklist

To add a sub item:

  • Click Sub Item located right of the Checklist Item
  • Enter the text you would like to appear as a sub item
  • Click update
  • When checklist is complete click Save Checklist

To add to multiple locations:

  • Select Actions in the upper right hand corner next to checklist name
  • Click Manage Locations
  • Click the dialog box and choose the location to add from the drop down box
  • Click Close and then Save Checklist
