Tasks

Assign tasks to one person or several in ShiftForce, track them to done, and close them out when everyone's finished.

Tasks are for anything that needs doing and someone accountable for it: fix the ice machine, update the allergen menu, finish training for new hires. Assign a task to one person or several, set a due date, and track it until it's done.

Where to find your tasks

Your To Do List is on your home screen and in the ShiftForce app. On the Tasks page, three views show everything:

Use search, filters, and sort (oldest or newest first) to find a task. Check Show completed to include finished tasks.

Create a task

  1. Go to Tasks and click Create New Task. 
  2. Enter a name and details.
  3. Choose a category.
  4. Choose One Time or Recurring.
  5. Set a due date.
  6. Choose when it should show in the To Do List, from Now to a set time before it's due.
  7. Choose the location, then assign it to one person or several. 
  8. Click Save.

Complete a task

  1. Find the task in your To Do List.
  2. Click the checkmark to complete it. You can do this right from the list.
  3. Add a completion note if there's something to report, like "Replaced filter, ordered spare."

Changed your mind? Click the checkmark again to reopen it.

Assigned to several people? Each person completes their own part. The person who assigned the task is notified as each part is finished. 

Close out a task

When everyone's done, the task is closed out, which marks it finished for everyone. Company admins can edit, delete, and close out tasks. 

Reassign a task

Open the task, change who it's assigned to, and save. It moves to the new person's To Do List.

Reminders

Turn on task reminders to get a notice before a task is due. [confirm where the setting is and how far ahead reminders go]

Tips

  • One task, one outcome. "Fix the patio heater" is clearer than "Patio stuff."
  • Assign several people for team tasks, like "Complete allergen training." Everyone gets their own checkmark.
  • Use completion notes. They're your record of what was done.
  • Use a template for tasks you repeat, like a new-hire onboarding task.

Create New Task

  1. Click Task icon in top menu or click Task on the left menu.
  2. Click Create New Task
  3. Pop-Up window will appear
  4. Enter task name and details
  5. Click either One Time or Recurring: Recurring will expand fields
  6. To enter due date click text box after Due: and choose date from calendar
  7. Choose when to show Task in To Do List
  8. Select location and assign to specific user, if any
  9. Click Save on top left to complete entry
  10. You can filter by Assigned, To Do List, or All
  11. Once task has been assigned it will display in the assigned user’s left menu and their To Do List

Complete a Task

  1. To complete a task, simply locate it in your To Do List
  2. Click on the task to open, and then click that you have completed the task
  3. You can leave notes or comments relating to the task you completed
  4. The user that assigned the task will get a notification that you completed your portion of the task and it will be marked as complete
